KinderLogix Subscription

Overview

You can view your current subscription details, payment history, and payment method in Admin > KinderLogix Subscription.

All KinderLogix subscriptions are billed monthly and are paid by credit card or debit card with a Visa or Mastercard logo. Direct debit and other payment methods are not available.

Billing is handled through Chargebee. Use the subscription page to review your plan, payment method, billing history, and account status.

Subscription Status

The top of the page shows your current subscription state and what it means for your account.

You may see one of these statuses:
  • Grace Period - New accounts have 10 days to choose a package before access is locked.
  • Free Trial - Your subscription has been purchased and the free trial is still active.
  • Active - The subscription is live and automatic billing is enabled.
  • Future Start - The subscription has been purchased but is scheduled to begin later.
  • Scheduled to Pause - Billing will stop on the pause date unless the subscription is resumed.
  • Scheduled to Cancel - The subscription will end at the end of the current term unless it is resumed.
  • Paused - Billing is paused and will not continue unless you resume it.
  • Cancelled - The subscription has ended and must be reactivated if you want to continue.
For active subscriptions, the page also shows details such as the subscription ID, package, next billing date, and whether automatic billing is enabled.

Getting Started

When you create a new account, you begin with a 10-day grace period. Before the grace period ends, you must choose a subscription package and add a payment method. You will not be charged immediately because each new subscription begins with a 2-month free trial.

If the grace period ends before you purchase a subscription, access is locked until a package is selected.

Office Package vs Connect Package

The Office Package is for centres that need the core administrative tools. The Connect Package includes everything in Office, plus the features needed for daily reports, parent messaging, and future Connect-only parent app features.

The purchase cards on the page show the current monthly pricing for each package in your currency.

The main difference is that Connect includes the parent communication tools and daily report features that are not available in Office.

Daily Reports can only be created in the KinderLogix mobile app. The mobile app can still be used for attendance and emergency contact information regardless of package, but daily reports and SMS features require Connect.

Billing and Manage

Click Manage on your subscription page to update your package, billing address, payment method, or billing email address.



If you upgrade from Office to Connect, you will be charged a prorated difference based on the remaining time in your current billing cycle.

All subscriptions renew automatically each month until you pause or cancel them.

Subscription changes and billing details are handled through Chargebee, which opens from the Manage button.

Payment Method

The Payment Method panel shows the card type, masked card number, and expiry date currently stored for your subscription.  Click Change to open the Chargebee portal and update your card details.



For payments, KinderLogix accepts credit cards and debit cards with a Visa or Mastercard logo.

Payment History

The Payment History panel shows your recent subscription transactions, including payments, refunds, dates, status, and reference numbers.  Failed transactions are highlighted so they are easy to spot. Refunds are also shown in the list.

You can click a receipt or refund row to open the matching report, and you can also open the Subscription Payments Report from the bottom of the panel.


Failed Payments

If a payment fails, KinderLogix automatically retries it on days 2, 4, 6, 8, and 10. If the payment still fails on day 10, the subscription is automatically cancelled.

Chargebee sends an email each time a payment attempt fails, so make sure the billing email address belongs to the person who handles payments.

If a subscription is cancelled because of non-payment, you must update the payment method and clear any outstanding charges before the account can be reactivated.

Status Actions

The action buttons on the page depend on the current subscription state.
  • Active subscriptions can be paused, cancelled, or managed.
  • Free Trial subscriptions can be cancelled or managed.
  • Scheduled to Pause or Scheduled to Cancel subscriptions can be resumed or managed.
  • Paused subscriptions can be resumed or cancelled immediately.
  • Cancelled subscriptions can be reactivated.
  • Future Start subscriptions can be cancelled before they begin.
The Manage button always opens the billing portal, where you can update contact details and payment information.

Canceling a Subscription

You can cancel your subscription at any time, without penalty.  When you cancel your subscription, you will continue to have access to KinderLogix until the end of your current billing cycle.  For example, if you made payment on June 10th, you'll have access until July 9th.  

What happens when you cancel a subscription
  1. You retain access until the end of your current billing cycle
  2. Your cancellation is scheduled for the end of your current billing cycle
  3. You do not get a partial refund for the remainder of your billing cycle
  4. If there are existing unpaid invoices, collection will be made immediately
Remove a scheduled cancellation
  1. You can remove a scheduled cancellation only during the billing cycle for which you've already paid
  2. After your last paid billing cycle a cancellation cannot be removed
  3. Re-activation is only possible if there are no outstanding charges

Reactivating a Subscription

If your subscription was cancelled due to non-payment, you must make payment before your account can be re-activated.   Since an automatic cancelation will only happen after repeated attempts to charge your card on file, you must update your payment method in order to re-activate your account.  When a new payment method is added to your account ( and set to primary ) collection of outstanding balances will automatically be attempted.  If the collection is successful, your account will be automatically re-activated.

Pausing a Subscription

You can pause a subscription when you think you might want to resume your use of KinderLogix in the future.  Pausing a subscription has the benefit of maintaining your payment method and history, as opposed to cancelling a subscription. 

What happens when you pause a subscription:
  1. You lose access to KinderLogix immediately
  2. Your payment method and history is maintained for easy re-activation
  3. You can resume your subscription at any time
What happens when you resume a paused subscription
  1. You regain access to KinderLogix immediately
  2. If you resume during a new billing cycle, you will be charged immediately
  3. If you resume during the same billing cycle at which you paused, there will no charge

What To Expect

If you are unsure which package you need, use this simple rule:
  1. Office if you only need the core office and administration tools.
  2. Connect if you want Daily Reports, SMS Messaging, and future parent app features.
If you ever need to review your current plan, payment method, payment history, or subscription status, return to Admin > KinderLogix Subscription.
