How Daily Reports Work
Daily Reports are part of the Connect package and are created in the KinderLogix mobile app. Educators can record care details throughout the day, add photos and videos where available, and send updates to families by email.
Quick Start
- Sign children in on Attendance.
- Open Daily Reports from the main app screen.
- Choose a report type.
- Create the report for one child or for a group.
- Add details (items, times, notes, media).
- Tap Send Now when ready, or send later from History.
Desktop Setup Before You Start
Daily Reports in mobile use your desktop Connect setup. Configure these first so educators see the correct options in the app.
- Select Connect from the main menu on your desktop app.
- Open the Options tab.
- Turn on or off Send daily report automatically when a child is signed out based on your workflow.
- In Active Reports, enable only the report types your center uses.
- In SMS Messaging, enable text delivery only if your center is using SMS messaging.
- Click Save.
Desktop Items Setup
The item lists used in mobile (Need, Meals, Mood, etc.) are managed in desktop Daily Reports setup. Some of the items listed here were entered as defaults when you created your KinderLogix account to help you get started, but new items can also be entered here or in the mobile app during the creation of a daily report.
When a new item is created, the user who created it is given ownership. This means only the owner can use this item in future reports. The purpose of ownership is to keep items separate per dayhome provider, or room, but the administrator can change ownership of items here. Ownership can also be set to All users so there are no restrictions on who in the organization can use it.
The Meals tab is a little bit different because no items can be added here. Instead, the user can select which meals are enabled, and the default time for each meal entered. When the mobile app user wants to create a meal report, only the enabled meals will be listed as options, and when a meal is selected, it is entered by default with the meal time specified here.
How To Create A Report For One Child
You can start a single-child report from either Attendance or the Children list.
Option A: From Attendance
- Open Attendance and tap the child name.
- Tap the Report icon.
- Select the report type you want (Need, Health, Rest, Meals, etc.).
- Tap Insert (or quick action buttons) and add details.
- Add an optional note.
- Use Send Now to send that section, or send later.
Option B: From Children List
- Open the Children list and select the child.
- Tap New Daily Report.
- Select the report type and complete report details.
- Use Send Now to send that section, or send later.
How To Create A Group Report
- Open Daily Reports from the bottom navigation bar.
- Select a report type.
- Select the children in your group.
- Use the report action buttons (for example Choose Needs, Add Comment).
- Tap Add To Selected Children (button text may show Add To X Children).
- Open child copies if needed and adjust individually.
- Send from the report screen, or allow auto-send on sign-out if enabled.
All Daily Report Types
The mobile app includes the following report types: Need, Health, Mood, Rest, Meals, Bottle, Diaper, Potty, Media, Activity, Milestones.
Choose The Right Start Path
Use this quick rule before any report type:
- Attendance: fastest for one child while doing attendance actions.
- Children list: one child when you are already in the child profile flow.
- Daily Reports: group flow (select children first, then create copies for each child).
Important: Group flows often include a builder step first, then create separate child copies you can edit individually.
Need
Use Need for day-to-day care requests and updates tied to selected Need items.
What staff usually miss:
- Only the group flow shows the builder buttons (Choose Needs, Add Comment, Add To X Children).
- Single-child flow skips that builder and goes straight into the child report entry screen.
- Reopening Need later the same day lets staff keep building the report before sending.
- Need items created in mobile are owned by the creator unless ownership is changed in desktop setup.
Health
Health can include three types of entries in one report: health items, temperature checks, and medicine records.
What staff usually miss:
- Health supports mixed entries in one report: symptoms/items, temperature checks, and medicine records.
- Record each temperature and each medicine administration as separate rows so families can follow timing clearly.
- In group flow, start with shared details, then open child copies for child-specific differences before sending.
Mood
Use Mood to capture emotional status and behavior snapshots throughout the day.
What staff usually miss:
- Mood items are faster to read for families when paired with a short context note.
- Group flow is best for shared classroom moments, then child copies can be adjusted where mood differed.
Rest
Rest supports both timer-based and manual time entry for sleep periods.
What staff usually miss:
- Timer and manual time entry both work; staff can correct times before sending.
- A rest row must include both start and end time to send successfully.
- Add separate rows for separate naps so the family timeline stays clear.
- In group flow, review child copies for different wake/sleep times.
Meals
You can record meals for one child or a group, and track intake as None, Some, Most, or All.
What staff usually miss:
- Available meal types and default meal times are controlled in desktop setup (Connect > Items > Meals).
- If only one meal type is active, tapping Meal inserts it directly.
- When using the same meal type again on the same day, new food rows are added to that meal flow.
- New food rows default to amount All, so staff should change amount only when needed.
- Group flow is fastest for shared food entries, then child copies can be adjusted for intake differences.
Bottle
Bottle entries are used for feeding records with quantity and units.
What staff usually miss:
- Use one row per bottle feed to keep the day timeline clear for families.
- In group flow, create shared entries first, then adjust individual child copies for amount/time differences.
- New bottle entries prefill Item, Amount, and Unit from that child’s most recent bottle record.
- Time defaults to the current time and can be adjusted before saving.
- Quick Amount and Quick Unit options appear from recent history (up to three distinct values each) when alternatives exist for that child.
Diaper
Diaper helps staff quickly log each check result during the day.
What staff usually miss:
- Enter diaper checks in real time for the clearest timeline.
- In group flow, copy shared checks first, then adjust child copies for exceptions.
Potty
Potty is designed for toilet-training event tracking.
What staff usually miss:
- Use one row per potty event so progress patterns are easy to review.
- In group flow, apply shared entries first, then adjust individual child copies where needed.
Media can be created as its own report type or attached inside other report types.
What staff usually miss:
- Photos can come from Gallery or Camera; some devices do not support direct capture and show: Sorry - Your device doesn't support direct camera capture. Please select a file instead.
- Videos may need processing time after upload; use Refresh if the video is not ready yet.
- If upload fails validation/security checks, the app shows Upload Rejected: with the reason.
- For individual reports, use Tag to include additional children. The media will be added to the report for each tagged child.

Photos display inline in report emails. Videos are sent as a video link in email.
To protect privacy, links to daily report photos and videos expire after 7 days. Once expired, the media can’t be viewed from the email.
Video processing: After a video is uploaded, it may not be ready to play right away. You might see this message: “Your video was uploaded but is still being processed...”. Processing time can range from a few seconds to a few minutes, depending on file size and network speed. Tap Refresh to check when the video is ready.
Upload rejection: If an upload is blocked, the app shows “Upload Rejected:” with the reason (for example, unsupported file type, file too large, or security check failed). Use that message to fix the file, then try again.
Group behavior: When you add media in a group report, a copy is added to each selected child’s report. By default, edits (like changing the note or deleting the media) apply to every child’s copy. If you only want to change one child’s copy, open that child’s report and turn off “Note and delete applies to all copies of this photo/video” before editing.
Activity
Use Activity for games, learning activities, and program participation updates.
What staff usually miss:
- Activity entries are most useful to families when paired with a short context note.
- Group flow is ideal for shared activities, then child copies can be edited for individual differences.
Milestones
Use Milestones to record developmental achievements and notable progress events.
What staff usually miss:
- Milestones are clearer for families when staff include a short observation note.
- Group flow works for shared milestone events, then child copies can be individualized before sending.
On group reports (Need, Meals, Media, Activity, and others that support media), uploaded media can be copied to all selected children.
- Create the group report.
- Upload photo/video once.
- Open an individual child copy if you need custom caption or deletion.
- Uncheck Note and delete applies to all copies of this photo/video to make child-only changes.
- Leave it checked when your edit/delete should apply to every copied version.
History
Each report includes a History list for that category.
- Scroll to the History section at the bottom of the report.
- Tap a row to open the saved report.
- If already sent, review sent date/time and recipient.
- If not sent, send directly from the opened report.
Sending Daily Reports
Best practice: Most families prefer one complete report at the end of the day, rather than multiple partial updates sent throughout the day.
Recommended method: Auto-send at sign-out
- In desktop Daily Reports setup, enable Automatically send daily reports when the child is signed out. See options
- With this option on, the full daily report is sent automatically when the child is signed out.
- This is the preferred workflow for end-of-day communication.
Moving a child: Signing a child out of one room and into another room can trigger sending, because sign-out occurs as part of that transition. To move a signed-in child without sending a report, tap the child's name on the mobile attendance list and select the Move option instead of signing out and back in. The Move option is only available while the child is currently signed in.
If auto-send is not enabled
- Use the Send button on the child’s Report tab (daily report page), not individual section send buttons.
- This page shows the complete report, so staff can review everything before sending.
- The preview on this page matches exactly what the recipient will receive.
About section-level sending: Individual sections can be sent with their own Send buttons, but this is generally not recommended for routine use. A possible exception is media, depending on family preference.
Emails include your center logo from Admin > Centre Profile. If no logo is set, the default logo is used.
Recipient Email Address
Daily report recipient email addresses can be managed in either desktop or mobile:
- Desktop: Child profile Reports page
- Desktop: Child profile Settings page
- Mobile: Child page Report Delivery tab
- For multiple addresses, separate each address with a semicolon (;).
- Do not include spaces between addresses.
- Make sure Email this child's daily reports is enabled for that child.
Daily report recipient email addresses, do not necessarily match the addresses for the mother and/or father. This is by design, so that you have the flexibility to add other addresses, such as other family members, to this recipient list. KinderLogix does default the recipient addresses to those of both parents, but they may be out of sync depending on the timing of creating a new family in the system.
How the daily report email is populated
The way emails appear on the child’s Daily Reports page depends on how the family was created in KinderLogix:
If a family is created through the online registration form:
- Parents enter their own email addresses
- Those email addresses are automatically added to the child’s Daily Reports page
- No manual entry is required
This is the cleanest workflow because the parent data exists before the child is added.
2. Families created manually by the centre
If the centre creates the family manually in KinderLogix, the order of data entry matters:
- The daily report email field is automatically filled only if at least one parent already has an email address on their profile
- If the child is added before parent emails are entered, the daily report email field will be blank
- In that case, the emails must be entered manually
This explains why some children may have missing or incomplete email fields.
Why the daily report email field is separate
The daily report email field is intentionally separate from the parent email fields so centres can:
- Add one or both parents
- Add additional family members
- Enter multiple email addresses separated by semicolons
This gives you flexibility without altering the parent profiles.
Why a parent’s email may be missing
If a parent’s email is missing on the child’s Daily Reports page, it means the parent did not have an email on file at the moment the child was added. Updating the parent profile later does not retroactively update the child’s daily report email field.
The same delivery settings are also visible in the mobile app on the child's Daily Report page.
Why a parent’s email may be incorrect
If the initial address for the parent is entered incorrectly, then that will be copied into the daily report as well, but if you then fix it on the parent profile it does not get fixed on the daily report. That has to be fixed independently.
